Urbanise Technology ("we", "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, share and protect your personal information when you visit our website, contact us or buy from us, in line with the Protection of Personal Information Act 4 of 2013 ("POPIA"). We are the responsible party for your personal information.

2. Information We Collect

• Information you give us: your name, email address, phone number, delivery and billing addresses, company name and VAT number (if applicable), account login details, order history and any messages you send us.
• Information collected automatically: your IP address, device and browser type, pages you visit and how you use our website, collected through cookies and similar technologies. We treat this information as personal information where it can identify you.
• Information from third parties: payment confirmations and fraud-check results from our payment provider (we do not receive or store your full card details), and delivery updates from our couriers.

3. How We Use Your Information

• Processing and fulfilling your orders: confirming stock and prices with our distributors, arranging delivery, sending order and tracking updates, and handling returns, refunds and warranty claims. We need this information to carry out our agreement with you.
• Customer support: responding to your questions and complaints.
• Fraud prevention and security: protecting you, us and our payment providers. This is in our legitimate interests.
• Legal and tax obligations: keeping records required by law.
• Improving our website: analysing how our website is used so we can improve it. This is in our legitimate interests.
• Marketing: sending you newsletters and promotional offers, as described in section 4.

4. Direct Marketing

We will only send you electronic marketing if you have agreed to receive it, or if you are an existing customer and the marketing is about products similar to those you have bought from us. You can opt out at any time by using the unsubscribe link in any marketing message or by contacting us. Opting out will not affect messages about your orders.

• Distributors and suppliers: to confirm stock, fulfil your order (including where a distributor delivers to you directly), and process returns and warranty claims;
• Couriers: to deliver your order;
• Payment providers such as PayFast: to process payments and refunds, and to prevent fraud;
• Service providers: who help us run our business, such as our website platform, hosting, email, customer support and analytics providers;
• Professional advisers: such as our auditors and lawyers; and
• Authorities: where we are required by law, or need to protect our legal rights.

Everyone we share your information with must keep it confidential and secure, and may use it only for the purpose we provided it for.

6. Transfers Outside South Africa

Some of our service providers, such as website platform, hosting, email and analytics providers, may store or process your information outside South Africa. When this happens, we make sure the information is protected by laws, binding agreements or rules that provide a level of protection substantially similar to POPIA, as required by section 72 of POPIA.

7. How We Protect Your Information

We use reasonable technical and organisational security measures to protect your personal information against loss, damage and unauthorised access. These include encryption in transit (SSL), access controls, and requiring our service providers to keep your information secure. If we believe your personal information has been accessed by an unauthorised person, we will notify you and the Information Regulator as required by POPIA.

We keep your personal information only for as long as we need it for the purposes described in this policy, or for as long as the law requires. For example, we keep transaction records for the periods required by tax and consumer protection laws. When we no longer need the information, we securely delete it or anonymise it.

• You can disable or delete cookies in your browser settings. If you do, some features of our website, such as checkout, may not work properly.

• ask whether we hold personal information about you, and request a copy of it;
• ask us to correct or update information that is inaccurate, incomplete or out of date;
• ask us to delete your information, subject to the records we are legally required to keep;
• object to our processing of your information on reasonable grounds, including for direct marketing;
• withdraw your consent at any time, where we rely on your consent; and
• lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.

11. Children

Our website and products are intended for people aged 18 and older. We do not knowingly collect personal information from children.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. Where a change significantly affects you, we will take reasonable steps to let you know.
